Your family's information is treated with the same care as your child. Here is exactly what we hold and why.

Who we are

School House Day Care Collections is a charity-run nursery in Guilsborough, Northamptonshire, operating The Baby Barn, The Little Paddocks and School House Day Care. What we collect

Registration and contact details for children, parents, carers and emergency contacts; health, dietary, allergy and medical information; funding and eligibility details; attendance and invoicing records; learning and development observations, including photographs shared through the Parent Zone App; and CCTV footage recorded within our settings.

Why we use it

To care for your child safely, meet our duties under the statutory framework for the Early Years Foundation Stage, claim government-funded hours, invoice for sessions, safeguard children, and communicate with you about your child's day, development and our events.

Sharing information

We share information only where we must or where you have agreed: with the local authority for funding claims, with schools during transition, with health and safeguarding professionals where a child may be at risk, and with our software providers who process data on our behalf under contract. We never sell personal information.

Photographs and CCTV

Photographs of your child are taken for learning journals and shared privately with you. Any wider use, such as our website or social media, only happens with your written consent, which you can withdraw at any time. CCTV operates for safeguarding purposes, is stored securely, retained for a limited period and viewed only by authorised staff or where legally required.

How long we keep it

Children's records are retained in line with statutory guidance, generally until the child's 25th birthday for safeguarding and accident records, and for six years plus the current financial year for financial records. Anything no longer needed is securely destroyed.

Your rights

You can ask to see the information we hold about you or your child, have inaccurate information corrected, ask us to delete information we no longer need, object to certain uses, or withdraw consent where we rely on it. Contact us and we will respond within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.

Our website does not use advertising or tracking cookies and does not build profiles of visitors. If you email us or call us through a link on this site, we use that information only to reply to you.
